PROFILE Working within our Municipal law department (specifically working on files that involve clients, municipalities, Tribunals and Courts), the successful candidate will perform full legal administrative work of a responsible and confidential nature. RESPONSIBILITIES * Organizing and expediting the flow of work through the professional's practice, initiating any follow-up action as appropriate; * Accurately preparing legal documents and correspondence with minimal direction; * Transcribing and typing legal documents and correspondence; * Liaising between the legal professionals and various internal and external individuals, groups and clients at all levels; * Working proactively in the day to day support of the professional's practice; * Using initiative and good judgment to relieve the professional of administrative detail; * Managing the professional’s calendar including travel arrangements; * Preparing and organizing meeting and briefing materials for the professional and file management; * Supporting the practice group in monitoring billing matters and undertaking of administrative tasks; * Assists lawyer(s) with schedules, deadlines, and filings during litigation process. QUALIFICATIONS * Administrative Assistant or Legal Administrative Assistant Diploma coupled with a minimum of 5 years’ administrative experience; * A minimum of 1 year experience working in a litigation practice; * Aptitude to take care of clients’ needs in a professional and courteous manner; * Excellent ability to work efficiently and effectively under pressure to meet deadlines while remaining focused with attention to detail and accuracy; * Strong knowledge of civil procedure is required, experience with the Ontario Land Tribunal (OLT), the Landlord and Tenant Board (LTB), and the practice rules and procedures governing these and other provincial tribunals, are all assets. * Strong knowledge of litigation practice, court rules, filing procedures is required; knowledge of tribunal processes, including experience preparing and filing materials before the Ontario Land Tribunal (OLT), the Landlord and Tenant Board (LTB), and other provincial adjudicative bodies, is an asset. * Ability to use discretion when dealing with confidential information; * Excellent problem solving and decision-making skills; * Advanced organizational skills; * Capacity to work independently, as well as in a team environment; * Advanced written, oral and verbal communication skills; * Excellent grammar and proofreading skills; * Advanced knowledge of Microsoft Office Suite (proficient in Word, PowerPoint and Excel); * Ability to multitask within a fast-paced environment. The starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance. This position is currently vacant and is open to both internal and external candidates.
